Data, AI & Client Project Requirements
A marketing automation or application project needs a defined data scope as well as a feature list. These points must be resolved before restricted data is introduced.
1. Define the processing
Identify the business purpose, data categories, data subjects, tools, access roles, instructions, and the person who approves the workflow. Use synthetic, anonymized, or otherwise appropriately limited test information where possible. A public inquiry is not the place to upload operational records.
2. Approve tools and access
The SOW and any required data-processing schedule should identify approved systems, AI/model providers, hosting, messaging, access permissions, and any further providers. Do not assume a tool has a particular retention, training, residency, security, or regulatory setting without verifying its actual configuration and contract.
3. Decide what people control
Specify what an automation may do, what requires approval, how uncertainty or failure is escalated, and how actions are visible. Agree on representative test scenarios, review responsibilities, and whether monitoring or ongoing maintenance is included. A demonstration of a workflow is not approval to run it on real records.
4. Additional agreements where needed
Depending on the engagement, a data-processing agreement, business associate agreement, confidentiality terms, international-transfer arrangement, incident procedure, security schedule, or other requirements may be necessary. No HIPAA, SOC 2, or worldwide compliance certification is claimed by this website. The appropriate documents and safeguards must be completed before the relevant work starts.
5. Retention and offboarding
Identify who holds the data, account ownership, return/export format, retention and deletion instructions, backup limitations, any lawful retention duties, and access removal. Handover should make the operational owner and continued support responsibilities clear.
6. AI-assisted work and intellectual property
AI-assisted creative or code can involve third-party licenses, uncertain exclusivity, and output that may not itself qualify for copyright. The agreement must distinguish final rights Puzinski actually owns from retained tools, third-party material, and rights that do not exist. Agreed review and testing remain necessary.
7. Before sending data
