A useful launch includes an operating plan
An AI workflow may respond, summarize, classify, or prepare information for review. Once it becomes part of daily work, someone must understand what it is allowed to do and what happens when it cannot finish. Name the process owner and the support route. Make the human handoff understandable to the staff who depend on the system. A promising demonstration is only one part of a usable business process.
Separate provider charges from the service fee
Running costs can include CRM or automation subscriptions, hosting, messaging, and AI/API usage. Identify the accounts, who pays for them, and how usage will be observed. The final cost depends on the actual tools, request volume, and work performed. A low-cost prototype is not a reliable forecast of every production month. Ask for an estimate with its assumptions and update it using observed usage.
Define review and exception handling
Specify which actions follow a rule, which AI can assist, and which require approval. Include missing information, duplicate events, unavailable tools, and requests outside the agreed task. Decide how a person notices a failure and continues the work. If outputs affect customers or important business records, the review approach should reflect the consequences of an incorrect action. No tool should be assumed correct solely because its response sounds confident.
Plan changes to connected tools
Providers can change features, APIs, access, and pricing. Business rules and messages also change. Keep an inventory of the supported systems and document the intended behavior. Use a repeatable set of representative tests after a meaningful change. Agree on what monitoring and maintenance cover, how issues are reported, and which response window is actually included.
Distinguish upkeep from a new build
Correcting an agreed delivery issue, changing a small workflow detail, and adding a new agent or channel are different tasks. At Puzinski, monthly workflow improvements can include a review and test checklist plus the stated small-update allowance for existing automations. New integrations, agents, migrations, major features, and emergency support receive a separate scope. The packages page defines the allowances; a signed proposal confirms the support obligation.
Decide how success will be observed
Define the business task and baseline before making claims about time saved or revenue. Useful evidence may include the number of completed actions, unresolved exceptions, follow-up completion, staff feedback, and verified processing time. Keep these measures separate from sales outcomes. Review them over an agreed period and use the findings to decide what should improve next.
