Zoho CRM Automation / Implementation & handover

Give every inquiry
an owner.
Keep the context.

Your CRM should reflect how the business actually handles inquiries and work. We start with the current process, clarify ownership and the source of truth, then scope the changes and integrations needed for a useful first release.

Discuss this workflow
The short answer

What does the work include?

Puzinski helps organize a defined process in Zoho CRM: agree on fields and stages, connect relevant inquiry sources, define assignment and follow-up, and test the handoff with the people who use it.

Existing Zoho setup → a working handoff

Fix the route.
Keep the context.

Try three fictional routing cases. The right rule depends on how the record enters CRM and how your team actually works.

FICTIONAL EXAMPLE · BROWSER-ONLY PREVIEWNo messages sent
Sample incoming context

A website inquiry arrives with the required service and location.

Apply the agreed assignment rule.

Verify the real entry route, required fields, owner, and notification. Do not assume a manually created record behaves like an API or webform record.

Use the agreed duplicate policy.

Define the matching rule and whether to update, flag, or create a record. Check that repeated events do not create repeated follow-ups.

Sample incoming context

A required territory is missing or the normal owner is unavailable.

Keep the exception visible.

Agree on a fallback owner and an inspectable next action. A missing field or unavailable integration should not disappear from the process.

What you receive

A working flow.
A usable handover.

Know what is delivered, what needs your input, and what is quoted separately.

01

A clear process & field map

Sources, stages, required information, owner rules, and duplicates.

02

One scoped working route

Configuration or integration around the agreed entry point and actions.

03

Acceptance checks & handover

Normal and exception tests, operating notes, and a named owner.

What to have ready

Bring your Zoho edition, existing customizations, inquiry sources, field definitions, owner rule, common exception, and an authorized account owner. Migration, cleanup, and a wider CRM redesign are separate scopes.

Zoho: assignment-rule behavior

Choose the first useful scope

A one-source Lead Handoff Sprint and a wider Operations & AI workflow are different scopes. A migration, multiple departments, complex permissions, or an entire Zoho implementation receives a tailored quote.

Lead Handoff Sprint From $1,250 Operations & AI From $3,000

One-time agency fees. Software, usage, and wider implementation are separate.

Describe your current workflow
01

Map the current process

Identify where information comes from, what counts as a new inquiry, who contacts the person, and which event changes the stage. Separate inquiries from consultations and collected payments. Define missing-information and duplicate rules before adding more automation. The first deliverable is a process the team can explain.

02

Organize the working setup

Agree on the fields, stages, tasks, assignment rules, and notifications required for that process. Assess which connected tools need to create or update information and who owns each account. Edition, permissions, API access, existing customization, and data quality affect what can be implemented and how it should be tested.

03

Check the ordinary and the exceptions

Use representative authorized or fictional examples. Test complete inquiries, missing fields, duplicates, assignment fallbacks, and unavailable connected tools. Inspect the resulting records and actions rather than only the confirmation message. The relevant staff should review the agreed workflow before relying on it.

04

Define what happens after launch

Document the field mapping, workflow rules, test notes, limitations, and responsible owner. Agree on support and future changes separately. A new department, channel, integration, or migration can materially change the scope; it should not be assumed to fit a small maintenance allowance.

Scope & useful answers

Before you
get started.

Do we need a new CRM?

We assess the current setup first. Improving a defined workflow in existing tools may be sufficient. A migration or wider redesign receives its own requirements and quote.

Can you connect marketing and sales activity?

The scope can include agreed inquiry sources, source labels, assignments, notifications, and follow-up. Attribution and sales reporting require consistent definitions and the right data; a connection alone does not prove revenue impact.

How do we start?

Share the recurring process, current tools, owner, and main exception. The Lead Handoff Sprint starts at $1,250 for its narrow one-source scope. Operations & AI starts at $3,000 for one workflow across up to three existing tools. Broader CRM implementation and migrations are quoted separately.
