Keep the checks together

Your working checklist

  1. Choose a clear inquiry or human-handoff event.
  2. Map required and optional information.
  3. Define record matching and returning-contact behavior.
  4. Keep source labels and ownership explicit.
  5. Test corrections, repeats and unavailable destinations.
  6. Verify each real channel before relying on it.

Choose the handoff before choosing the connector

Define the moment a conversation becomes an inquiry worth reviewing. It might be a person requesting help, a customer selecting a service, or a completed introduction. A comment, follow or casual reaction should not automatically become a qualified sales lead. Write down the receiving team and the next action. Let someone request a person without finishing a questionnaire. These choices determine what the connection should do and which fields are genuinely needed.

Compare native, connector and custom routes

Manychat documents a native HubSpot integration with contact-property and form actions. When a native route does not meet the requirements, its External Request feature supports HTTPS requests on eligible paid plans. A third-party connector is another option to evaluate. Compare the actions available, account permissions, running costs and handling of failures. Avoid assuming a connection can create every CRM object or support every channel simply because two platform names appear in an integration directory.

Create a field map the sales team can use

Start with the service requested, a short business description, the problem, timing and the person’s chosen reply route. Add a reliable source label and the current conversation context. Map each item to an agreed destination field. Keep unknown information explicitly unknown; do not fill it with a guess from an AI summary. Separate a request for human help from a completed qualification. The receiving person should be able to understand why the record exists without reopening a long chat.

Decide how a returning contact is handled

Agree on a suitable matching identifier and whether a new inquiry should update a record, create a new opportunity or ask someone to review it. Do not assume one platform’s contact ID is an identifier understood by another. Clear or replace old intake answers when starting a genuinely new brief so the customer’s earlier request does not leak into the latest summary. Test the same source event twice and decide which actions may happen only once.

Keep credentials and customer information within the right boundary

Use the intended account owner’s approved connection and the minimum access needed for the job. Keep secrets out of public website code. Decide which fields may be shared and which must stay in the original inbox. Use fictional data for development and demonstration. A conversational assistant does not need an entire customer history to collect a useful business introduction. Privacy requirements and platform messaging permissions must be assessed for the actual audience and workflow.

Test a conversation and a failed destination

Check a normal inquiry, declined optional answers, a correction, a returning contact and a request for a person. Include punctuation, line breaks and long descriptions. Then check what happens when the receiving tool rejects or cannot confirm delivery. A friendly success message should not hide an uncreated record. Confirm the resulting CRM fields, owner and notification separately. Platform previews are useful, but final checks need a real incoming event on each supported channel.

Scope the first release around one useful result

Start with an agreed channel, conversation and destination before adding every campaign idea. Document the working flow, field map, dependencies and who handles the inbox after a handoff. Puzinski’s $1,250 Lead Handoff Sprint covers its narrow one-source-to-existing-CRM scope. A full multichannel Manychat assistant, booking workflow or wider AI integration receives a tailored quote. Ongoing software, messaging and API usage are separate from implementation.
